Persons to whom this statement applies

This privacy statement applies to all persons from whom Tripolis processes personal data, with the exception of persons employed by Tripolis in any way, applicants for employment and external consultants.

Personal data processed by Tripolis

Tripolis processes the following personal data provided by you:

• contact data and other personal data necessary for the execution of the order granted to Tripolis;
• contact data and other personal data entered on contact forms or other web forms;
• contact data provided during introductory meetings, events, etc. such as data mentioned on business cards.

Tripolis processes the following personal data obtained through or generated by our website, electronic newsletters, commercial emails or related technologies:

• IP number;
• your browsing behavior on the website, such as data on first visit, previous visit and current visit, pages viewed and how the website is navigated;
• Whether you open a newsletter or commercial e-mail and which parts of it you click on.

Tripolis processes the following personal data obtained from other sources:

• personal data available on public business social media platforms such as LinkedIn;
• personal data obtained from public registers such as the Trade Register of the Chamber of Commerce;
• personal data available on public business websites.

The Tripolis website contains hyperlinks to other parties' websites and social media buttons. Tripolis is not responsible for the content of those websites or the services of respective social media platforms. Nor is Tripolis responsible for the privacy policies and use of cookies on those websites and social media platforms.

Use of Personal Data

Tripolis uses your personal data for several purposes, namely:

• The execution of an agreement in which you have commissioned Tripolis to provide services by (one of) our employees. If you are a customer of ours we receive data from you. Among other things we ask for your name, company name, telephone number, address, Chamber of Commerce number, e-mail address and bank account number. We use your data exclusively for our own administration.
• Compliance with legal obligations. By law Tripolis is obliged to report to the police if it suspects fraud.
• Maintaining contact with you. Your contact information is maintained in our customer system and may be used for such purposes as sending newsletters, updates, and sending information you have requested from us.
• Improving and securing our website.
• Creating user statistics. The website's user statistics allow us to get a picture of, among other things, the number of visitors, the duration of the visit, which parts of the website are viewed and click behavior. These are generic reports, without information about individual persons. We use the information obtained to improve the website.

Duration of storage

Your personal data will not be stored for longer than necessary for the aforementioned purposes. In doing so, we are also bound by statutory retention obligations.

Personal data that we administer under Article 52 of the General Act on State Taxes, we are obliged to keep for seven years.

Legal grounds for processing

A controller may only process personal data if this can be based on one of the exhaustively listed legal grounds in Article 6 (1) of the General Data Protection Regulation (AVG). The three legal grounds Tripolis relies on are:

• Consent: if we have asked you permission to process your personal data and you have granted this permission, you also have the right to withdraw this permission at any time.
• Agreement: if you grant us an order to provide services, we process personal data if and to the extent necessary for the execution of the order.
• Justified interest: Tripolis may also process personal data if Tripolis has a legitimate interest in doing so and in doing so does not constitute a disproportionate invasion of your privacy. For example, we use your contact information to invite you to events.

Processors and third parties

We may engage service providers (processors) to process your personal data who process personal data exclusively on our behalf. We conclude a processor agreement with these processors that meets the requirements set by the General Data Protection Regulation (AVG).

For example, we work with service providers who provide hosting services. Furthermore, there are ICT service providers who support us in keeping our systems secure and stable. We also use third-party services for sending newsletters and commercial emails.

Furthermore, it may be necessary to share your personal data with third parties. This may be necessary in certain cases in the execution of the order issued to Tripolis. Personal data may furthermore be shared with third parties in the event of a reorganization or merger of our company or the sale of (a part of) our company. Your personal data will not be shared with third parties for commercial purposes.

Transfer outside the European Economic Area (EEA).

It may sometimes be necessary to transfer your personal data to parties located outside the European Economic Area (EEA). This may be necessary - depending on the circumstances of the case - in order to carry out the assignment provided. For sending online newsletters and mailings and processing data entered on web forms on our website, we may use service providers (processors) based outside the European Economic Area (EEA).
